Overview

Planning a local event? The Waka Manaaki trailer is here to help.

It’s packed with handy gear like gazebos, BBQ, tables, chairs, games, beanbags and more — everything you need to make your event easy, welcoming and fun. Best of all, it’s free to hire for community groups, schools, and not-for-profit organisations in Palmerston North.

The trailer is designed for small to medium-sized events, like community BBQs, school galas, playful pop-ups or small festivals. It’s not for commercial, ticketed or private events, but if your gathering is free and community-focused, you’re good to go.

How it works

Booking is simple. Just fill out our online form at least five working days before your event. We’ll get back to you to confirm your request. All groups need to return a signed Terms & Conditions form before picking up the trailer.

Use of the trailer is for community-led events, meaning getting it where it needs to go is up to you. This means you’ll need someone with a full driver licence and a suitable tow vehicle to collect and return the trailer. The trailer must always be booked as a whole unit; we can’t lend out individual items.

Picking up and looking after the trailer

The Waka Manaaki trailer is stored at Council’s Depot, which is on the corner of Ferguson Street and Albert Street. After you’ve filled out the form, our booking officer will work with you to confirm pick-up and drop-off times. If you need the trailer overnight, that may be possible, but you’ll need to store it securely off the street and get approval in advance.

All gear should be returned clean and in good condition. If something gets damaged or lost, let us know as soon as possible. We understand normal wear and tear, but significant damage or missing equipment may mean a repair or replacement fee.

A printed Event Setup Guide comes with the trailer. It covers things like a gear checklist, BBQ safety, and handy tips for briefing your volunteers.

Good planning creates great events

Most small to medium-sized community events will find the trailer has just the right amount of gear. If you’re looking for some help with planning, feel free to give our Events team a call - while we can’t usually help run your event on the day, we’re always happy to offer advice.

If you’re hosting your event in a park, reserve or other Council-managed space, you’ll need to make a separate booking for the space with our Events Team. This may also include permits (for food stalls, amplified sound, or temporary structures) and a Health & Safety plan.

If you’re unsure whether your vehicle can tow the Waka Manaaki trailer, check your car manual or the NZTA towing guide. The loaded trailer (which is around 2,000 kg) and vehicle together can’t exceed 4,500kg, which is the limit for a standard car licence.
